How to record a Microsoft Teams meeting on a Mac

In Teams for work or school, the organiser and people from the same organisation can record with More actions, then Record and transcribe, if they have a Microsoft 365 licence and their IT team allows it. Guests and people from other organisations can't, and neither can free Teams. In those cases a recorder app on your Mac records the call's sound, and from macOS 27 so does the screenshot tool.
Option 1: Teams' own recorder
In the meeting, choose More actions, then Record and transcribe, then Start recording. Everyone in the meeting is told.
The recording is saved to the organiser's OneDrive, or to SharePoint for a channel meeting, and linked in the meeting chat.
- Who can record: the organiser and people from the same organisation. Guests, people from other organisations and anonymous users can't.
- What you need: a Microsoft 365 business, enterprise or education licence for both the organiser and the person recording, and recording turned on by IT. The organiser can also limit recording to organisers, or turn it off.
- Teams for personal use: only with a Microsoft 365 Personal, Family or Premium subscription, and those recordings expire after 30 days unless you download them. Without a subscription, Teams can't record.
Good for: your own work meetings. Not good for: meetings at another company, or free Teams.
As a guest or on free Teams
If the Record button is missing or greyed out, you're probably a guest, from another organisation or on free Teams, or the organiser has turned recording off. Hovering over the button says why.
Recording on your own Mac still works in those cases. Use one of the two options below, and tell the others you're recording.
Option 2: macOS itself
From macOS 27, the screenshot tool can record the other people's voices. Press Shift-Command-5, choose Record, open Options and pick Include System Audio. On macOS 26 and earlier it records only your microphone, so you'd hear just your side.
You get a video file of your screen with sound. There's no transcript, no summary and no search.
Option 3: a recorder app on your Mac
A recorder app captures what your Mac plays and what your microphone hears, with the system audio permission macOS asks for. It works in the Teams app or Teams in a browser, as a guest or on free Teams, and nothing joins the meeting.
Parrot is one of these. It's free and open source, transcribes on your Mac while you talk, and writes a report when you hang up. When Teams starts using the microphone, Parrot asks whether to record. Here's how to set it up:

Download Parrot and pick a model
Open the DMG, drag Parrot to Applications, and choose a Whisper model on first launch. It downloads once and runs on your Mac from then on.

Allow two permissions
System audio for the other side and microphone for yours. The welcome tour opens the right settings panes. On macOS 14 the system audio permission is called Screen Recording, but Parrot records sound only.

Hit record when the call starts
Click record or press Command-R. The transcript appears as people talk, and the report is ready when you stop.

Tell people you're recording
The law depends on where everyone is. In the US, federal law allows a recording if one person on the call agrees, but California and about ten other states need everyone's consent. In the UK and EU, data protection law expects you to tell people when you record for work.
